Secretaries Guide
This
guide aims to clarify your main responsibilities and hopefully make a difficult
job a little easier.
Pre-season VERY VERY IMPORTANT
Generally
more time spent preparing for the season makes it run more smoothly and more
enjoyable for you. It can also help
save on the phone bill! In
particular ensure all players are registered before they set foot on court,
otherwise resulting league fines may be your responsibility.
1. Make sure all players in your team are
registered and understand which teams they may play for and in which
competitions.
2. Make sure all team members have your
contact details and you have theirs, phone numbers and email addresses.
3. Advise the Treasurer of any new
players so their fees can be chased up.
4. Understand how the table officiating for
your team will operate, i.e. is there a rota or a nominated person who does the
table for you.
5. Appoint a treasurer to pay
referees at each game. Note Wessex referee fees are split 50/50 between the
teams for both home and away matches.
6. Give everyone a fixture list
so there are no last minute surprises for them.
7. Read the League Handbook.
8. Ensure all your players have appropriate
kit, if you are short of kit contact one of the club committee members.
Before the Match
At
least a week before the match, confirm in writing wherever possible, with the
secretary of the opposing team, both referees and those due to table officiate.
Include
details of:
1. venue
2. time
3. playing colours
You
are entitled to claim for your telephone expenses.
Just make a note and pass it to the Treasurer.
At the Match
1.
Make sure the referees are paid before the match begins. Make sure you
are aware of the rules for paying referees and someone in your team is looking
after this for you.
2.
Check all the necessary equipment (table, clock, visual score, match
ball, etc).
3.
Hand a team list with registration numbers and kit numbers to the Table. Do not let anyone play who
is not registered with the EBA and the league.
After
the Match
1.
Check all the details on the score sheet are correct, particularly the
match numbers and registration numbers.
2.
Whether you win or lose, send the white copy of the score sheet to the League Results secretary within 7 days. The home
team is responsible for sending in the score sheet, including if the game is
cancelled.
3. A list of matches can be found on this web
site. Please write your result on after each match so we all know what
is happening.
Postponements
Cancelling matches should be avoided as it
causes problems at the latter end of the season trying to fit them all in. See
web site for available court slots. If a match is changed please update the web
site so everyone knows about your re-arranged match.
If
you do have to postpone, notify the designated referees, table officials, league
results secretary and both teams as soon as possible.
When
the game is re-arranged, it is your job to find referees and table officials.
